President
Serves as the presiding officer and spokesperson of the PTA.
Facilitates Executive Board and General meetings.
Gathers input from other board members and prepares agendas with the Secretary.
Communicates with the school Principal, staff, and PTA members as well as potential PTA members.
Delegates responsibility where appropriate to the Vice President.
Plans, develops and coordinates with the Executive Board for the Back to School Social.
Oversees Committee Chairs.
Vice President
Communicates regularly with the school Principal, staff, and PTA members as well as potential PTA members.
Stands in for the President when they are unavailable.
Plan, develop and coordinate with the Executive Board for the Back to School Social.
Serves as Membership Chair, working to sign up members to the PTA and entering those members into the state website.
Treasurer
The Treasurer is elected by members to be the authorized custodian to manage PTA funds.
Ensures all PTA funds are deposited into PTA bank account(s), separate from funds of any other organization.
Ensures appropriate insurance (liability insurance at a minimum) is purchased for the PTA.
Keeps accurate accounts of all funds received and disbursed.
Responsible for paying all authorized financial obligations of the PTA.
Prepares and files the appropriate federal tax forms, incorporation report, and charitable organization report in a timely manner.
Preserves all receipts, invoices, bank statements, canceled checks, and other financial records.
Submits and reports on a monthly financial report at every Board of Directors & General Meeting.
Works with the support of the President to create the proposed budget for the following year.
Secretary
Takes minutes and records all business at PTA meetings, including General meetings and Board of Director meetings.
Prepares minutes from previous meetings for review/approval at the next meeting. Works with the President to plan meetings and create agendas and informs the President of unfinished business from previous meetings.
Takes attendance at meetings to ensure the quorum. Facilitates meetings in the event the President and Vice President are absent.
Maintains a roster of Board of Directors, ensuring all contact information is up to date.
Keeps a current roster of members on hand during meetings.
Tracks and maintains PTA Training Requirements for Executive Board.
Maintains the copies of all documents for the official PTA files.
Assists the president to manage meetings and advises on parliamentary procedure
Chairs Bylaws committee to review unit Bylaws each year and revise bylaws every five years
Arranges nominating committee’s first meeting, providing information on nomination and election process
Is entitled to all rights and privileges of membership, including the right to make motions, debate and vote
Coordinates activities related to building a positive relationship between the school and community.
Work with the school and community to build positive relationships.
Oversees the following chairs: Spelling Bee, Staff Appreciation, Planned Family Events: Breakfast Buddies, Art Walk, and the Reflections Program.
Oversees the Spirit Wear, Spirit Nights (Angelina's, Chipotle, Chuys, Texas Roadhouse, Chick-fil-A), Penny Wars, the Snack Shack (twice a month after school), and events that can bring funds to LDMS PTA.
Works with the Treasurer to track and validate Fundraising budget line items.
Coordinates with the VP of Communications to update the LDMSPTA website on all fundraising activities and affiliate promotions.
Organize and manage Box Tops collection/submissions, including collection contests and marketing.
Help promote other easy fundraising opportunities such as Amazon Smile, Fred Meyer Community Rewards.
Communicates with LDMS parents via the PTA website and Parent Square (through LDMS Admin) regarding PTA events, as well as general school and district information.
Develops and coordinates the LDMS PTA website, social media posts, and potential newsletter.
Creates Canva images and ads to coordinate with Social Media needs.
Develops content for the website to be utilized in future campaigns.
Works with board of directors on the dates and themes for each of the "teacher treat" events held throughout the year, including the Back-to-School Luncheon in August, Winter Holiday Luncheon in December, and Back to School luncheon or breakfast in January.
Builds sign-up sheets requesting donations and helpers to set up and clean up.
Coordinates all aspects of Teacher Appreciation Week in May.
Coordinates with STUCO and Admin to treat teachers throughout the year.
Runs the Reflections Art Recognition Program with help from the Vice President.
This is a National PTA contest that allows students to create works of art for fun and recognition. Students in all grades are encouraged to create and submit works of art in six areas: dance choreography, film production, literature, musical composition, photography, and the visual arts.
Helps coordinate and staff the Holiday Store
Assists the President and VPs as needed with events and programs.
Financial Reconciliation Committee (three Positions)
Perform an audit of the PTA bank account/books over the summer
Serve for a few months before the yearly election
Help identify talented, motivated, and responsible individuals to serve as officers for next year's PTA Board. The committee will present the slate of nominees to the Board and general assembly to be voted upon at the last general PTA meeting of the year.
